The roster page

Roster is the list of everyone you might pair — with their status, and every action you can take on a person. The line under the heading sums it up at a glance: "Status is shown for the week of Aug 10 · 24 active · 3 invited · 2 paused …".

Status looks one week ahead

Statuses are computed for the next week, not today — so a pause that starts next Monday already shows as paused. What you see is what the next round of pairings will use.

Statuses

Status Meaning
Active Accepted their invitation; in the pairings.
Invited Invitation sent, no answer yet. Not paired, receives nothing further.
Paused Temporarily out — until a date, or until someone resumes them. The row shows the dates, e.g. "paused Jan 6 – Feb 3".
Removed Permanently out, history kept. Can be put back.
Declined Said no to the invitation. Never paired, never emailed again.
No email On the roster but unpairable — there's no address to send their match to.

A row can also carry small notes under the status: a scheduled pause ("pause scheduled starting Jan 6") or a personal pace ("paired every other week").

Finding people

The filter bar searches by name or email, narrows by status, and — if you've recorded teams — by team. Column headers (Name, Email, Team, Status) sort the whole roster, not just the visible page; click again to reverse. Fifty rows show per page, with the filters preserved as you page through.

Adding one person

Expand Add one person above the table: Full name (required), email and Team optional, then Add.

  • With an email address, the person is invited immediately: "Added Ada — they will be paired once they confirm by email."
  • Without one, they're simply on the roster (and never paired).

For a whole list at once, use Add people in bulk — see Adding people in bulk.

Invitation limit

Invitations are capped at 50 per 24 hours to protect deliverability. A bigger first import will tell you how many remain; try again tomorrow, or ask the site admin to lift the cap for a day.

The row menu (⋯)

Every row ends in a button. It opens a panel with everything you can do to that person (Esc or clicking elsewhere closes it):

Resend invite email — only shown while their invitation is unanswered.

Edit — name, email, team, and free-form notes. Changing the email address resets consent: the new address gets a fresh invitation and the person is out of the pairings until they accept again. A new address never inherits an old yes.

Pause — takes someone out temporarily:

  • Pause from — defaults to this week; set a future date to schedule it.
  • Until — leave empty to pause indefinitely (they stay out until someone resumes them); set a date and they return automatically.
  • Reason — optional, for your own records.

A paused row offers Resume now; a scheduled-but-not-started pause offers Cancel scheduled pause.

Pairing cadence — give one person a slower pace than the workspace: At most every other week or At most every 4 weeks, or back to the Workspace schedule. Participants can also set this themselves from their personal email link — they can slow down, never speed up. Rows with a slower pace show it, e.g. "paired every 4 weeks".

Remove permanently — takes them out of all future pairings. Their history is kept (so the matcher still remembers who they've met), and a removed row offers Put back on the roster.

Delete entirely — erases the person and their pairing history. This is the only irreversible action on the page; Pourover asks you to confirm.

Remove vs. delete vs. pause

Someone leaving the company? Remove — history stays useful. Someone on leave? Pause with an end date — they come back on their own. Only delete when a record should never have existed.

Excluding someone from just one week

That doesn't live here — on the week board, select the person and choose Hold out. It skips them for that single cycle and survives regeneration.
